You’ll gain a behind-the-scenes understanding of what’s involved in running a specialized marketing and consulting business while gaining experience with specific marketing and project management skills that can be applied to many business types or industries.
In a typical week, you will:
- Keep the CEO focused and productive by managing their work and personal schedule, and bumping up to-do's they are falling behind on. You are expected to be direct and firm. You will need to be assertive and project-manage the CEO.
- Manage the CEO’s email inbox including triaging, responding, delegating, and escalating messages as needed.
- Collaborate with multiple departments (People, Revenue Operations, Program Design, Events, Finance) to ensure the successful execution of projects and initiatives. Strong organizational and multitasking skills, as well as the ability to prioritize and manage multiple tasks effectively, are essential for this role.
- Send LinkedIn or social media invites and DMs (direct messages) to prospects, clients, and interview candidates.
- Drive 30-minute working sessions at least twice a week with the CEO as an accountability partner to facilitate actioning urgent and critical to-dos for the week.
- Update to-dos and timelines proactively, knowing when to bend or break directives and think out of the box.
- Take meeting notes by participating in various internal and client-facing meetings.
- Draft and/or send appropriate next steps email and follow-ups needed to keep prospects in the sales pipeline on track.
- Draft sales proposals and/or summary of options for prospects based on sales call recordings and submit them for the CEO’s approval.
- Put together the initial draft of contracts (Master Services Agreement and Scope of Work) for new deals closed by the CEO.
- Ensure proper sales handoff of the CEO’s closed deals to the Operations team for proper client onboarding.
- Organize and tag content (eg: sales calls, marketing training webinars) in various software platforms, CRM, and learning management systems.
- Research and compile data about prospects, clients, and interview candidates.
- Provide support before and after meetings and client calls.
The role is 80% execution and 20% ideation. The focus is primarily internally facing (80%), with some interaction with clients and prospects.
Your schedule is flexible; daily and weekly assignments are managed through Basecamp.
Requirements
- At least 2-3 years of experience in the role
- Must have high attention to detail and a high need for urgency (speed). If you wait to be told what you should work on next, we cannot entertain your application.
- This role requires initiative and has well-documented standard operating playbooks triggers and rhythms.
- Reliable high-speed internet access is a MUST -have.
- Fluency in English is very important.
- Must be available for scheduled [virtual] meetings and “ad hoc” calls between 9 am-5 pm Eastern Time.
