Admin Officer


 

JOB QUALIFICATIONS:

  • At least graduate of any Four-Year Course
  • With at least 1-3 years experience as Admin Specialist
  • With above average communication and interpersonal skills
  • With strong and pleasing personality
  • Willing to work on-site
  • With Excellent Organization Skills and ability to Multi-task
  • Adept in use of Microsoft Office Applications ( Word, Excel, Powerpoint)

JOB DESCRIPTION:

Office Management: Manage daily office operations, including organizing office supplies, maintaining equipment, and overseeing the general tidiness of the office space.
Coordinate facilities management, including liaising with building management, maintenance, and security personnel.

Communication and Correspondence: Handle incoming and outgoing communications, including emails, letters, and phone calls, and direct them to the appropriate parties.
Draft, proofread, and edit documents, memos, reports, and presentations as needed.

Data Management: Maintain and update databases, records, and files in a systematic and easily retrievable manner.
Compile and organize data for reports and presentations.

Scheduling and Coordination: Manage calendars and schedules for executives or team members, including arranging meetings, appointments, and travel arrangements.
Coordinate and schedule meetings, conferences, and events, and provide logistical support.

Financial and Budget Management: Assist in managing budgets, tracking expenses, and processing invoices.
Support financial reporting by providing relevant data and documentation.

Human Resources Support: Assist with onboarding processes for new employees, including paperwork, orientation, and introductions.
Help maintain employee records and handle basic HR-related inquiries.

Policy and Procedure Compliance: Ensure that administrative policies, procedures, and guidelines are adhered to across the organization.
Assist in developing and updating administrative processes as needed.

Vendor and Supplier Management: Communicate with vendors, suppliers, and service providers to ensure timely delivery of goods and services.
Assist with procurement processes and maintain vendor relationships.

Project Support: Provide administrative support for various projects, including tracking project timelines, milestones, and deliverables.
Collaborate with project teams to ensure smooth project execution.

Problem Solving and Decision Making: Address day-to-day operational challenges and find solutions to ensure efficient workflow.
Make informed decisions and escalate issues as necessary.

Job Type: Full-time

Salary: Php20,000.00 - Php25,000.00 per month
